SVTC MINUTES September 6, 2011 - 6:30 p.m. Dave's Taverna Present: Mike Guinn, Treasurer; Anieta McCracken, Secretary; and Rich Ruozzi, President. Absent: Jeff Campbell, Member at Large; and John Welsh, Public Relations. Guests Present: Joe Rudmin. Minutes. The minutes of the April, 2011, meeting were approved as read. Treasurer's Report. M. Guinn reported a balance of $4,728.72. Scholarship. Thank you notes from five of the scholarships were acknowledged. Nonprofit Status. R. Ruozzi reported that the Club received a letter stating nonprofit status has been lost in spite of the fact that required reports have been filed annually. Road Runners Club of America, of which SVTC is a member, has stated that this letter is nothing to worry about as RRCA also has copies of the reports and that the letter appears to be in error. R. Ruozzi stated that many other Virginia non-profits have encountered similar issues. Club Shirts. R. Ruozzi said he has priced shirts and found a standard tee for $5.50 per shirt; the minimum order to get that price is 72 shirts. Children's shirts, because of a new law, must be printed separately; they would $4.75 each if a minimum of 75 shirts are ordered. R. Ruozzi also received a quote of $30 per singlet. M. Guinn's son is now part owner of MarkIt, so it was decided to get a price quote from that company before ordering shirts or singlets. Clock. M. Guinn will research costs for a clock. EMU offered one, but that clock had more negatives than positives, primarily because of its age. 116th Infantry Race. The 116th has a new organizer this year. R. Ruozzi will meet with him to assist with race planning. It was agreed that we will loan the paper watches for the race for the price of a roll of paper and a set of batteries. The 116th will also be warned to keep the cord around the neck and to cover the watch if it rains. Hess Greenhouse 5K. Hess Greenhouse wants to host a race. R. Ruozzi has agreed to help them with timing. Unfortunately this race is scheduled the same day as Jeff's five miler. Grottoes Race. New track club member Mike Betts wants to host a 5K at Grottoes. R. Ruozzi has offered to provide support and mentoring. Betts plans to pay for having the course certified. Indoor Meets at EMU. Lynn Varnich and R. Ruozzi have agreed on two meets again this year. The timing will be such as to avoid JMU's break as that track club has been very supportive of the winter meets. SVTC Bylaws. Apparently club bylaws were not written when the club was founded. J. Rudmin agreed to draft a set for consideration at the next club meeting. The bylaws, it was agreed, should include the addition of an executive president or president elect. This person would primarily deal with paperwork. Adding this officer would increase the number of decision makers in the club and provide a trained person to replace the president should such a change be needed. It was also decided that the bylaws state that the Club will write a newsletter at least twice a year. A. McCracken stated that she may now be able to produce a newsletter (after several failed attempts earlier in the summer) now that she has bought a new computer. R. Ruozzi said the newsletter needs only be a front and back sheet; it doesn't need to be quite as extensive as it has been in the past. Officer of Vice President. The members regretfully accepted B. Proctor's resignation as vice president and expressed their gratitude for many years of service to the Club, including serving as a past secretary and, most recently, as vice president. It was decided that a request for a volunteer replacement be made on the Google group. J. Rudmin said he would be willing to serve if no one else volunteers. Turkey Run. The Turkey Run will be November 20 beginning with the traditional children's run at 2 p.m. T. Hughes has expressed interest in sponsoring a race; it was suggested that he might sponsor this one which would enable the Club to provide tee shirts. The race fee is $15 for members and $20 for nonmembers. Turkeys will be given as prizes again this year. Meeting adjourned. Respectfully submitted, Anieta McCracken Secretary
